This guide answers the most common questions about Subscription Plans setup and management.

Core Setup and Configuration

01. Is it mandatory to create Subscription Plans? 

No, creating subscription plans is not mandatory. If you prefer offline payments, you can deselect all plans in the subscription tier menu in the client account settings.

02. How can I disable or hide the subscription plans page in a client account (if I want to accept offline payments)?

To disable the subscription plans page:

  1. Go to the Client Account menu in the agency panel.

  2. Select the desired client account.

  3. Navigate to the Pricing tab and deselect all plans

If no plans are selected, the subscription menu will automatically be disabled for that client account.

03. How do I enable pricing plans for a client account created in my agency panel?

To enable pricing plans:

  1. Go to the Client Account menu in the agency panel.

  2. Select the desired client account.

  3. Navigate to the Pricing tab and select the subscription plans you want to display in the client account.


04. How can I arrange pricing plans in a custom order?

The order of pricing plans is determined by the sequence in which they are selected.

Example:

If you have plans for $99, $699, and $999:

  • Select the $999 plan first.

  • Then select the $699 plan.

  • Finally, select the $99 plan

The system will display the plans in reverse order:

  • $99 plan first

  • $699 plan second

  • $999 plan last

05. Can I create or update customized pricing for a specific client account?

Yes, you can create or edit customized pricing plans tailored specifically to a client account.

06. Can I create a zero-charge plan (also called a "Pay-as-you-use" plan)?

Yes, you can create a "Pay-As-You-Use" plan by setting the Subscription Charges and Free Minutes in the Subscription Plan to zero. This allows customers to be charged only for the call minutes they use.

07. How is the subscription amount charged to the customer?

Subscription charges are billed on a Prepaid Basis based on the plan type selected:

  • Monthly Plan: The system charges the client every month on the subscription start date.

  • Yearly Plan: The system charges the client every year on the subscription start date.

08. How do Free and Extra Minutes work in the subscription plans?

Free minutes are used first and remain valid until the end of the subscription period. After the free minutes are used, the system will refill add-on minutes based on the quantity selected by the client on the payment page.

Monthly Subscription Example:

  • Subscription from 1st Oct to 31st Oct with 1,000 free minutes.

    • Example 1:

      • If only 500 minutes are used, the remaining 500 minutes will expire at the end of the subscription on the 31st Oct.

      • On 1st Nov, a new allocation of 1,000 free minutes will be added.

    • Example 2:

      • If all 1,000 minutes are used before the subscription due date, the system will refill the add-on minutes, and they will be used as needed based on actual usage

      • Note: Add-on minutes do not expire and can be used at any time based on actual usage. The remaining balance will be displayed in the Usage & Billing screen for client reference.

Yearly Subscription Example:

  • If a plan includes 1,000 free minutes per month, and the customer opts for an annual subscription:

    • 1,000 free minutes per month x 12 months = 12,000 free minutes for the entire year.

    • The client can use the 12,000 minutes at any time during the 12-month subscription period.

Customization and Features

09. What is the maximum value I can set for monthly charges?

There is no limit to the amount you can set for monthly charges; you can define pricing based on your business requirements.

Here are some common examples of AI Voice Agent plans:

  • $49/month (Start-Up)

    • Best for getting started.

    • Includes 100 free minutes.

    • Additional minutes are charged at $0.49/min.

  • $499/month (Growth)

    • Ideal for growing teams.

    • Includes 1,000 free minutes.

    • Additional minutes are charged at $0.29/min.

  • $999/month (Business)

    • Designed for scaling teams.

    • Includes 5,000 free minutes.

    • Additional minutes are charged at $0.19/min.

Note:

While creating pricing plans, account for any additional hidden costs (e.g., Twilio charges, automation fees, and your retainer fee).

10. What is the maximum value I can set for Extra Minute Charges (Add-on or Additional Minute Charges)?

There is no restriction; you can set extra minute charges as needed for your business.

Here’s how additional minute pricing typically aligns with plan commitments:

  • $49/month Plan:

    • Includes 100 free minutes.

    • Additional minutes are charged at $0.49/min.

  • $499/month Plan:

    • Includes 1,000 free minutes.

    • Additional minutes are charged at $0.29/min.

  • $999/month Plan:

    • Includes 5,000 free minutes.

    • Additional minutes are charged at $0.19/min.

11. How can I mark a plan as "Most Popular"?

To highlight a plan as Most Popular, enable the "Most Popular" option while creating or editing the plan.

12. Can I offer different discounts for annual and monthly plans?

Discounts can only be applied to Annual Plans, not monthly plans.

Maintenance and Updates 

13. Is it possible to delete a pricing plan?

Yes, you can delete a pricing plan, provided it is not currently active with a customer subscription. 

14. Can I temporarily disable a pricing plan instead of deleting it?

Yes, you can temporarily disable a pricing plan. To do this: 

  • Navigate to Agency Panel → Sub Accounts → Choose a Customer → Pricing Menu.

  • Deselect the plan to disable it from appearing in the customer app view.

15. How do I update an existing pricing plan without affecting active subscriptions?

It is not possible to edit a plan that is active with a customer subscription. Instead, you can create a new plan and offer it to your clients as an updated option. 

16. Can I restrict certain plans to specific client accounts?  

Yes, pricing plans can be restricted to specific client accounts. Only the plans you select will appear in the client’s account.

To restrict a plan, simply deselect it from the client account's Pricing Menu

Billing and Customer Management

17. What happens if a customer exceeds their free minutes quota?

If a customer exceeds their free minutes quota, the system will automatically refill add-on minutes based on the client's refill preferences set in the Subscription Management Page. The extra minutes will be used on an actual usage basis.

18. How do I handle subscription upgrades or downgrades between plans? 

Clients can manage upgrades or downgrades between plans directly from the Usage & Billing Menu. 

19. Is there an option to prorate charges when a customer switches plans mid-cycle? 

No, prorated charges are not supported. The newly selected plan will take effect in the next subscription cycle.

20. How do I track the usage of free minutes and extra minutes for a client? 

Clients can track their usage, including free minutes and add-on minutes, from the Usage & Billing Menu.

Other Questions 

21. Is there a limit to the number of plans I can create? 

No, there are no restrictions. You can create as many plans as needed to meet your business requirements.

22. How do I monitor and analyze revenue from client accounts?

You can track and analyze revenue through the following options:

  • Option 1: Use the Agency Dashboard.

  • Option 2: Review revenue reports from your connected Stripe account for detailed revenue insights.

23. Is it possible to set trial periods for specific plans?

By default, when a client account is created, it is treated as a trial plan for 7 days. You can reduce or increase them in Trial Settings. 

If needed, you can manually disable the client account to restrict client access after the trial period ends.

24. Can I integrate external payment gateways other than Stripe for SaaS pricing plans?

No, Stripe is the only supported payment gateway for SaaS pricing plans.
